Job Description Summary The Administrative Coordinator is a full-time, twelve-month position reporting directly to the Assistant Director of Operations. The Administrative Coordinator works closely with other professionals in the administration and management of a comprehensive residence life and housing program that serves 4000 on-campus students. The Administrative Coordinator has responsibility for the daily operations of the Deacon Place apartment complex office and provides administrative support to various units within Residence Life and Housing. Job Description Essential Functions: Manages daily operations of the Deacon Place apartment complex office, including opening and closing and maintaining the security of the office through prompt customer service. Performs duties related to respective department in order to facilitate operations. Co-manages the department email account housingwfu.edu and disseminates information accordingly. Hires, trains and oversees the work allocation of the Office Assistant staff at Deacon Place. Provides administrative assistance to all areas of RLH and assists with various processes throughout the year. Assists in the coordination of electronic room condition reports and associated billing processes. Handles initial billing questions from students and/or parents and families for Deacon Place. Oversees the Deacon Place conference room schedule/calendar Maintains out of office calendar for staff absences at Deacon Place. Receives, sorts and distributes incoming mail and packages. Monitors the condition of the Deacon Place clubhouse, gym, and pool and reports all issues in a timely manner. Attends all Central Office meetings. Assists in developing and implementing policies and procedures. Oversees operations in order to maintain quality control and meet deadlines. Prepares special and periodic reports and maintains records.Serves on a variety of committees, projects, and programs within the Office and University. Performs other duties as assigned. Required Education, Knowledge, Skills, Abilities: High school diploma with two years related experience, or an equivalent combination of education and experience. Ability to communicate with a variety of constituents, both verbally and in writing. Ability to organize workflow and coordinate projects within the office and with other departments on campus. Ability to interpret policy and procedures established within the Office of Residence Life and Housing. Ability to work weekends and evenings as assigned. Excellent interpersonal, communication, and time management skills. Proficiency in Microsoft Office, the internet, and other relevant software. Ability to handle sensitive information in a confidential manner. Ability to organize workflow and coordinate activities. Ability to maintain effective customer relations. Preferred Education, Knowledge, Skills, Abilities: Bachelor's degree.
