Purpose of the Job The Property Administrator will manage all leases and licenses for Truliant's portfolio of ATM's and Corporate Real Estate Properties, as well as assist with property management initiatives, including research of existing and/or potential markets, designs and space planning, property zoning and ordinances along with managing landlord, park associations and local municipality relations. Responsibilities include client-vendor-landlord relationship management and resolution of rent and other landlord/tenant issues. This role will interpret commercial lease documents (leases & amendments) and perform data entry, validation and management of leases, review of annual landlord reconciliation statements, along with rent, CAM and other escalations. Essential Functions and Responsibilities

  • Maintains current drawings and engineering records describing facilities, equipment, and grounds for each of Truliant's locations.
  • Assists with design concepts for existing and new locations, including space planning designs and workspace assignments for Regional spaces as well as Corporate Headquarters.
  • Performs contract administration and adheres to Vendor Management procedures for all assigned vendors, including facilitating the negotiation and tracking of key lease terms, covenant restrictions, etc.
  • Benchmarks and periodically reviews contracts to ensure maximum value, identifying ways to reduce costs while adequately delivering services in a manner that is aligned with Truliant's service standards.
  • Manages landlord, association and local municipality relations to insure desired plan approvals, zoning, bonding and permitting, as well as repairs/maintenance, Right of Entry, requests, etc.
  • Interacts with any property management companies for outstanding maintenance issues and CAM.
  • Researches and vets potential new real estate where Truliant might expand or relocate existing locations.
  • Executes lease invoice reconciliation and contract spend tracking.
  • Maintains Truliant lease requirements both internally and externally to make sure all requirements are upheld.
  • Maintains lease renewal process to allow internal partners to renegotiate or terminate contracts prior to contract expiration and notification timeframes.
  • Assists in maintaining all Vendor Management procedures for new lease holders.
  • Participates and contributes to assigned projects, adhering to the Project Management Methodology of Truliant.
  • Negotiates and completes lease renewals (including business terms; coordinate and assist with legal and environmental issues with appropriate support teams in the corporate office). Establishes tenant and industry relationships. Other Duties and Responsibilities

  • Must have sound understanding of standard concepts, practices, procedures, regulations and compliance within the property management environment
  • Must have the ability to read, analyze, and interpret general communications, professional periodicals/journals, technical procedures, governmental regulations, bills of material, construction drawings and schematics
  • Must be adept at reading, writing, and interpreting technical documentation and policy / procedure manuals
  • Must have ability to write reports, business correspondence and policy/procedure manuals
  • Must thoroughly understands demographics, traffic patterns and market trends with knowledge of competing shopping centers and rental rates
  • Must have ability to negotiate and manage contracts
  • Must demonstrate leadership, responsiveness and creativity towards finding solutions for service delivery, acting collaboratively to solve problems and resolve spontaneous and unique situations with professionalism
  • Must have a high degree of innovation with the ability to work with minimal supervision in a fast paced environment.
  • Must be self-motivated with high degree of drive, initiative, and follow through
  • Must have advanced computer skills and proficiency in MS Excel and Outlook
  • Must have intermediate knowledge of MS Word, PowerPoint and Visio
  • Must have working technical knowledge of current systems software, protocols, and standards
  • Must have excellent communication skills in English, both verbal and written
  • Must have strong interpersonal skills, with the ability to assist others in a team environment with a highly developed sense of tact and diplomacy
  • Must have the ability to define problems and develop solutions, acting collaboratively to solve problems as well as resolve spontaneous and unique situations with professionalism and service orientation
  • Must have ability to understand all business processes within the Credit Union
  • Must be detailed oriented, with strong organizational skills, and have ability to effectively and efficiently manage workload and competing priorities
  • Must be able to work on multiple projects concurrently
  • Must be able to work in a general office environment
  • Should possess a strong commitment to providing excellent service to Truliant's members Physical Requirements
    • Must be able to sit at a desk for long periods of time and use a computer
    • Occasional standing, walking, bending, and stooping required
    • Must be able to moderately lift or move up to 5 pounds and occasionally lift or move up to 10 pounds Education and Background
      • Undergraduate degree or equivalent experience required
      • Minimum of three (3) years property management and/or real estate experience required
